15Installation Introduction
- Installation of the Yearbook Plus CD-Rom is a
simple process. As with the installation of any
software, you may want to back up all system
files prior to allowing an installation program
to modify them automatically. - Follow the on screen instructions and the
installation should proceed smoothly. - You will be able to choose to install an English
interface, a French interface, or both English
and French interfaces. This means that the Folio
Help functions will be available in the
language(s) chosen. You will have access to all
infobases whatever choice you make.
16Installing via Windows 3.1x
- Start Windows (if Windows not already running).
- Choose Run from the File menu in Program Manager.
- Type d\windows\setup (or replace d with the
letter of your CD-Rom drive). - Press Enter to start the installation.
- Respond to prompts as they appear.
- Reboot your computer.
- Read the Readme text file located on the CD-Rom
in the nfo directory

- Start Windows Explorer (if not already running)
- Click on the CD-Rom icon (next to the designated
CD-Rom drive letter). - Double-click on the Windows folder located on
the CD-Rom drive. - Double-click on the Setup (install.exe) icon to

19Getting Started Opening an Infobase
- Double-click on the desired icon in the UIA
CD-Rom Publications folder (or alternative
program group name) to start the application. - Click on an infobase, or choose Open from the
File menu to select and open an infobase
(remember to pre-select the CD-Rom drive). - You can have more than one infobases open at a
time. - CtrlTab switches between open infobases (or try
using Window, Tiling features). - Use File, Close or CtrlF4 to close an infobase.

- Following the installation, open the Yearbook
infobase using the icon on your desk top - or the folder on the Start menu
21Getting Started Interfaces
- Depending on which language was chosen at
installation, the primary Folio interface for
access to the Yearbook infobases will be either
(or both) of - English interface via the icon Yearbook Plus
- French interface via the icon Annuaire Plus
- You can choose to enter via the Multi icon taking
you to a menu of multilingual infobases. - Within any infobase, access is then possible via
a query template in the language of the infobase.

- Online help for Folio Bound Views is always
available by using F1 (or clicking on the Help
menu) to the Folio Help infobase. - Click Contents or Query, click on links, or
scroll through text, to locate relevant help.
- Some operations have Help buttons which take you
directly to relevant Folio Help. - You can also print relevant records (see
Printing and Exporting). - Supplementary help on Yearbook entries and field

- Folio Help is itself an infobase like others on
the CD - You may find it useful to use the Tile function
of the Windows Desktop to have the Yearbook
infobase open in parallel (split screen) with the
Help or Tutorial from Folio (see example) - Tiling is also an excellent way to benefit from
the Contents index for each infobase. This may be
opened in one window in parallel (split screen)
with profile records (see example)

- Every word of the text is indexed
- Some punctuation characters are indexed as text.
For example if you search for the word homme in
the associations name you will find only one
entry but if you search for lhomme than you will
find several. This is because the l is indexed
with the word homme. - Wildcards can be used to solve such problems. For
example if you search for homme you will find
everything that ends with homme like homme,
lhomme, bonhomme. - Any word you add to text (in shadow mode) will
immediately be indexed.

- Options for access to search facilities
- Query from the Search menu,
- use F2,
- click on Query to access the general Query
window. - Options include
- Type any word you wish to search for anywhere in
entries. - Scroll through the list of available words
double-click to select. - Select more words, all of which must be found in
the same record. - The number of successful search results (hits)
is shown at the bottom of the screen.

- Customized query templates are available in the
following languages via the Multi interface
English, French, German, Spanish, Dutch, Italian.
- The language of each template corresponds to the
language of the infobase. Note that the English
inobase can be searched from the French infobase
template by using the Apply to All feature - These customized query templates differ from the
general Folio Query template in that they are
designed specifically for the data-sets included
on the Yearbook Plus CD-ROM. See the following

- For either of the above search methods
- as you begin to type a word, an indication is
given of available words with that spelling. - as you add keywords, a count is given of query
hits. - When selection is ready (and any processing is
finished) - click OK and the first search hit will be
displayed . - or, in the Query window, click on OK Apply to
All to search all the open infobases (especially
useful when two or more infobases are tiled
vertically).

- Contents window Provides a convenient index to

- Click on Contents (or press CtrlT) for a summary
display, which can be modified through the View
menu. - Display sublevels (expand a branch) by

- The tag operation allows you to mark chosen
records in order to perform other operations on
them. - F6 tags a record. The same key also untags
(clears a tag). - To tag an entire entry, either tag all the
records in that entry, or select the entire text
using the mouse (or ShiftArrow keys), then press
F6. - The Edit menu has several features to manipulate
tagged records, eg Keep Tags will segregate
tagged records useful for creating a display of
non-sequential records. - Note that if you are NOT using a shadow file, all
tags are lost when the infobase is closed.

66Modifying data Shadow file introduction
- Shadow files allow you to personalize an
infobase. - A shadow file is located on your hard disk or
diskette, and it acts as an overlay to a UIA
CD-Rom infobase. - Anything you can do with a UIA infobase
(searching, navigating, tagging etc) may be done
through a shadow file - But, using a shadow file, you can also place
notes, create bookmarks, highlight material -- or
change the text of any description (eg update an
address). - You can then store the changes by saving the
shadow file.

- Within any infobase, select New from the File
menu (or click on New) - Type a File Name (.sdw) and location (hard drive
or diskette drive, not the CD-Rom drive) for your
shadow file. Example Myfile.sdw - Note title bar now shows you are using your
shadow file. - Save your shadow file using File, Save (CtrlS),
or you will be prompted to save changes when you
close it. - Next time you want to access your shadow file,
select Open from the File menu, then choose the
same directory and shadow file name from the List
Files of Type scroll box. Opening the shadow file
will automatically open the infobase it overlays

- Mark places of short- or long-term interest with
bookmarks (can be saved when working in a shadow
file). - With the cursor in the place to be marked, click
on Bookmark (or Bookmark in the Customize menu,
or press CtrlM). - Select a bookmark name, then press OK to create
the bookmark (each bookmark has a unique name). - Repeat the procedure to locate the bookmark.

- Mark text with distinctive colours and/or styles
(only possible on a shadow file). - Click on Highlighter (or Highlighter in the
Customize menu, or press CtrlH). - Click on Character to edit highlighter (specify
font, colour, etc). - Search for highlighted text using the Query
window.

- To insert your comments in a note, click on Note
(or Note in the Customize menu, or press CtrlN). - When you save the note, a note icon will mark its
location in that record. - Search for notes using the Query window.
- To print notes you have to check the Notes item
in the menu Page Setup under File.

- A group is a topical collection of related
records that users may define create their own
topical groups. Groups may be searched and
displayed independent of the rest of the
infobase. Records may belong to several different
groups simultaneously. - Pre-defined groups of organizations

92Searchable Fields Overview
- Each entry is divided up into distinct fields.
For an organization, an entry may include
History, Aims and Structure fields -- displayed
in a distinct colour. - Customized search windows Using these,
searchable fields are identified by a name
identical or very similar to that appearing in
the entry. Some zones in the window can be used
to search several fields, for example entry
names. Some hidden searchable fields which may
also appear on the search window. - General query window Can be used to search
whole entries, rather than just specific fields.
For such general searches, field names are not
required.

100Addresses Printing
- You can print addresses resulting from a search
(only for the English International Organizations
infobase). - First do a query by using one of the methods
described above. - Go back to the first screen by typing CtrlG and
then type 1 (one). After that double-click on the
Print Mailing Address button and follow the
instruction to print your mailing addresses. - Note that you can only print 25 addresses at a
time.

- You can print address list of a search only in
the International Organizations (English)
infobase. - First do a query by using one of the methods
described above. - Go back to the first screen by typing CtrlG and
then type 1 (one). After that double-click on the
Print Mailing Address button and follow the
instruction to print your mailing address. - Click OK if this is the search from which you
want to print the address and then click on Print
in the Print Mailing Address Window. Next in the
Print Document Window click on Cancel. - Choose Save As in the File menu to export the
address. - Note that you can only export 25 organizations at
a time.
