Web Based Intelligence Tool

• The ProfitSage Business Intelligence Software for
  Hospitality is a web-based information management
  tool designed by hotel professionals with the
  purpose of improving information flow throughout
  an individual hotel as well as an entire
  portfolio.
• With real time information and data at the
  fingertips of operators, the results will be
  improved decision making, more accurate
  forecasting and budgeting, and stronger profits
  as managers act quickly to adjust to changes in
  the marketplace and business levels.

Benefits of System Integration

• The system is designed so that all modules of the
  program - Daily Revenue Journal, Forecasting,
  Budgeting, Business Plan, Accounts Payable,
  Purchasing modules - are all integrated so that
  adjustments made in one module are automatically
  updated in all modules affected by the change.
  Users have real-time information!
• The data gathering functions are primarily
  automated, eliminating most manual errors and
  improving accuracy. Data mining from the PMS,
  back office accounting system, sales automation
  system, time clock/time keeping system, and POS
  systems can be automated, saving time and
  eliminating manual input errors.
• ProfitSage eliminates the need for keeping
  spreadsheets for historical purposes. The
  program stores as much data as you determine
  appropriate for forecasting and budgeting
  purposes.
• With more of the managers work integrated, they
  will have more time to spend in the operation

The Purpose of ProfitSage

• ProfitSage was developed with management
  companies in mind. Most companies manage several
  different brands with no way to gather their own
  data from the various systems in the hotel,
  including the PMS, POS, back office accounting,
  timekeeping system, and the sales automation
  systems. ProfitSage solves this dilemma by
  mining your data and providing access at your
  fingertips!
• ProfitSage was also developed with the purpose of
  eliminating antiquated spreadsheets and dangers
  of manual entries, typing over formulas,
  separating links, etc. The six modules of
  ProfitSage are all integrated. Updates in one
  module are automatically updated in all other
  affected modules.
• With accurate data available, ProfitSage gives a
  management company the information and tools it
  needs to effectively achieve bottom line results,
  i.e. comparative analysis, market data, financial
  reports, historical reports, forecasting and
  budgeting tools - all in real time!
• Individual hotels will have checkbook management
  in the forecast module for better management of
  expenses and a stronger focus on bottom line
  results. In addition, duplication of manual
  entry is eliminated, the program is web-based so
  managers can work wherever they have access to
  the web. Managers will have more time in the
  operation and require less time in the office!

Security Access to ProfitSage
Corporate users have access to the entire company
or regions of the company. At the hotel level,
access is granted only to the individual hotel
and not the entire portfolio. Corporate can
dictate security levels of users throughout the
company, individual hotels can dictate security
at the hotel level.

Navigating Through ProfitSage
A series of Tree menus, similar to those used
in Microsoft Office file management, make
navigation throughout all modules of ProfitSage
simple and familiar.

ProfitSage Modules

• The main four modules of the program include
• Daily Revenue Journal
• Forecasting
• Budgeting
• Accounting
• These four main modules make up the heart of the
  ProfitSage Software. Additional modules,
  including the Purchasing Module and the Marketing
  Plan, are supporting modules but are still fully
  integrated. For example, entries into the
  marketing plan automatically update the Budget
  Module. Likewise, purchase orders written within
  the Purchasing Module are instantaneously
  deducted from the affected line items in the
  Forecast Module.

ProfitSage Architecture

• The ProfitSage Software is written using a
  Microsoft SQL format. The database structure is
  similar to that of Access.
• The Software is completely customized to each
  company, using the companys chart of accounts,
  or general ledger, as the basis. This serves
  multiple purposes including the ability of
  comparing multiple brands in the same report line
  by line. In addition, the Forecast and Budget
  Modules are nearly identical, eliminating the
  need for managers to learn two separate systems
  or methods for these two functions.
• ProfitSage allows for customized reporting from
  the corporate office, setting up regions or
  brands for comparison purposes.
• ProfitSage allows for customization at the hotel
  level as well. Restaurants can be named
  appropriately. And individual line items can be
  turned on or off depending on their use at the
  property level.

Daily Revenue Journal Module
For each department, todays, MTD, Budget MTD,
and Last Year MTD stats are all available for
comparison.
The Daily Report shows the revenue from each
individual department.
You can click on each of the revenue departments
to view the numbers for that department with the
same comparisons available.
Example After drilling down on the Rooms
Revenue, you can see each of the market segments,
the revenue, ADR, and Room Nights for each, using
the same comparisons on the previous page.
Likewise, stats for YTD, YTD Budget and YTD Last
Year are also available for comparison on the
same report.

Forecasting Module
You can import data from other areas to help you
create the forecast, including the PMS, Sales
Automation System, Labor/Timekeeping System, etc.
Manual input screens are also available
throughout the forecast for adjustments to the
data

Forecasting Module
This is a screen shot of the manual input/edit
page for the rooms revenue forecast. Other
available features are automated imports for
reservations data from the PMS system and group
rooms data from a Sales Automation system, such
as Delphi, Breeze, SalesPro, or DayLight.
The links at the top of the menu allow you to
change departments, revenue or expenses,
comparisons, i.e. last year, budget, etc., and
how the data is edited, i.e. by day, by week, by
month, etc.

Budget Module
The Budget Module is identical to the Forecast
Module in nearly every way. Import functions,
manual edits/inputs, comparison options, etc, are
all available in every department within the
Budget Module. However, notice on this
particular budget, there is no field available
for input. Since this screen example was
provided in May, the Budget data has been locked
down and is no longer available for changes!

Accounting Module
Accounting module allows controller to enter
transmittals, actual invoices, cash deposits,
create check log, complete journal entries and
enter accruals. It has a two-way interface with
the back of the house accounting system which
allows information to flow both ways. When
month-end closing is completed, corporate office
can upload final PL into ProfitSage, saving
money on postage and express mail to send PL to
properties and owners each month.
In addition, entries made in the accounting
module automatically update the forecast module,
and checkbook, giving managers an up-to-date PL
at all times.

Drill Down Features
Drill down feature allows user to look behind
the number for further analysis. In this case,
all March invoices posted to rooms department -
Guest Supplies are displayed in the table
above. This feature is available in every
department and every module throughout the
program.

Reporting Features
There are nearly 250 available reports contained
within the ProfitSage Software formatted to
adhere to standard industry design. These
reports can be displayed on screen, or as you can
see from the upper right, they can be emailed or
printed. These reports help managers and
corporate officers analyze hotel performance
overall and by department. ProfitSword can add
custom reports at the request of the management
company/ownership.

Interfaces And Imports
Easy Interface integrated into Daily (Night
Audit) process allows user to import PMS detail,
review for correctness, then update to the
ProfitSage database.
Easy Interface allows user to import sales
information from an outside sales system, review
the detail for correctness, then update to the
ProfitSage database. After update, all
ProfitSage modules match the current sales
bookings and provide drill downs to the detail.
Imports can be done and redone at anytime.
Updates and corrections in the sales system are
always reflected in a new import.
Easy Interface allows user to import labor
information from an outside labor system, review
the detail for correctness, then update to the
ProfitSage database. After update, all
ProfitSage modules match the current labor
statistics and provide drill downs to the detail.
Invoicing and Payment History is synchronized
between ProfitSage and the corporate Accounting
System. A User can review all the past and
current history of a vendor, without impacting
Accounting System resources.
Easy Interface allows user to import reservation
data directly from the PMS into the revenue
portion of the Forecast Module, matching up
occupancy stats, ADR and room revenue by market
segment.
