- Anytime attendance, grades, and student/teacher
schedules change, the information is immediately
available in the Grade Book because it is
real-time. - Information posted to the Grade Book is directly
written to the student database. - When a teacher posts cycle or semester grades,
campus staff will see the posting in the grade
reporting system. - When a clerk updates a cycle or semester grade,
the teacher sees the change in the Grade Book. - Accessible from anywhere!
4txGradebook Features
- Logins and passwords are self-administered by the
teachers. - New teachers set up their own unique user ID and
password. - If teachers forget their passwords or enter the
wrong password, they will be prompted to answer a
hint question. - The Campus Grade Book Administrator can reset
teacher passwords if the teacher exhausts the
maximum sign-on attempts. - The Campus Grade Book Administrator only needs to
delete users when teachers leave.
5Setup Beginning your journey is easy
- Just a very few steps must be performed by the
DBA in the Grade Reporting application to prepare
the database to connect with the web-based
Gradebook. - Specify the number of days for password
expiration (default is 30). - A district message must be entered. This will be
seen by all district teachers using the
Gradebook. (Specific campus messages can be
entered as well and will be described
momentarily). For example, you could list
approaching district holidays or events. - You also have the option to integrate student
photos into the gradebook by specifying the URL
at which the jpg files will be located.

The Administrator must set up hint questions that
teachers must provide answers to during initial
login creation. In the event that the teacher
enters the wrong password or forgets their
password altogether, they will be prompted to
answer these security questions. A minimum of
three questions must be defined there is no
maximum number.

- Keep your list of District Administrative Users
exclusive. This/these users will have access to
every teachers gradebook in the district. Ex
DBA. When the Administrator sets up this screen,
the name of the user must be entered exactly as
it exists in the Instructor table in Grade
Reporting. The User ID is the Administrative
login they will use to access individual teacher
gradebooks if/when necessary. - Active status means that this administrative user
currently has an active login. - Type of User - Maintenance grants this user the
ability to edit information (grades and
attendance), from within any district teachers
gradebook. - Type of User Inquiry gives the user read-only
access to the teacher gradebooks.
10- At the campus level, a few preferences must be
set in Grade Reporting (most likely by the campus
Principal or Secretary). These options control
what teachers are able to see and do in their
gradebooks. - Display Program Information allows the campus to
determine what student information a teacher is
allowed to see in the gradebook. Checking a box
means that teachers will be able to SEE which
special programs each of their students are
enrolled in.
11- Type of Posting choices are Attendance, Grades,
or Both. Most likely, the choice will be both
to allow teachers to post both attendance and
grades from their gradebooks. - The option to Allow Prior Days Posting will allow
teachers to post attendance for a previous day if
attendance has not been posted. This option may
be turned off or on as necessary by the Campus
Administrator.
12- Setting Up Grade Categories
The Campus can set up categories and
corresponding weights. This will be used to
classify assignment TYPES in the teacher
gradebooks. So, for example, when the teacher
begins to set up categories in his/her gradebook,
they will be able to choose from this list or
create their own categories.

This person (Ex. Campus Secretary) would have
access (Maintenance or Inquiry) to teacher
gradebooks at the CAMPUS level, and would
maintain the Campus Options tab, including the
Campus Message.

- Home Page is customizable with school Name,
Logo, and/or Mascot graphic - Teachers can voluntarily reset their own
passwords before being prompted, if necessary.
They can also change the answers to the security
questions and their PIN number. - In accordance with Student Attendance Accounting
Handbook requirements, txGradebook has a time-out
feature when the teacher gradebook is idle for 10
minutes.

- The Parent Portal will provide parents and
guardians with read-only access to the student
data. Parents will be able to access the portal
with their students unique Portal ID number
(given to them by the school), and manage and
update their own account information. - Student attendance information updates for the
current day will occur several times per day. - Can be linked to the districts homepage.

- Parents/guardians will have read-only access to
the student data. Parents will be able to update
their account profile that contains portal user
settings. - Attendance will be updated multiple times daily.
- Parents with more than one child can access all
of their children through only one user account.
Once logged on, the parent can select which child
they want to see information for. - A link can be created so parents may access
Parent Portal from the district home page.

- A program in RSCCC will create a unique and
RANDOM portal ID for each student that will be
saved on their student record. This program will
also generate Portal IDs for new students upon
enrollment. A Portal ID is required for parents
to access their child(ren)s data. - The system will be able to generate a new Portal
ID for students with existing Portal IDs when,
due to security purposes, the Portal ID needs to
be changed. - Method of distribution of Portal IDs is a
district decision. However, a page (letter,
similar to Discipline letters) showing the Portal
ID , can be created for distribution to the
parents. - Clean-up functions will be available to drop
any inactive (for six months or longer) or
invalid accounts.

- When Move to Grade Reporting is run, the program
will NOT reset student Portal IDs. This way,
parents can have the same login account
throughout their childs high school tenure. - There will be an administrative login so that
designated campus personnel can see the same
thing the parents do for all students at a
particular campus. We are going to add an
administrative view where you can see the user
accounts associated with the students. We are
going to save a date/time stamp of when the
Parent Portal was accessed by User. - If the parent forgets their username, password,
and answers to hint questions, they must
re-register and create a new account there is
no campus function to reset a parent portal
account. However, if the parent loses the Portal
ID for their child(ren), they must contact the
school.
