APPLICATION MANAGER LOG IN
  • Application Manager is a tool for communicating
    with and managing applicants and their online
    applications that have been submitted via The
    Princeton Reviews Admissions Center.
  • Application Manager is divided into five
    sections
  • 1. Home Search and view an applicants summary
    at any stage of the application process.
  • 2. In Progress See how many people have started
    filling out your institutions online
    application.
  • Send them emails with deadline reminders and
    other important messages.
  • 3. Receive Holding area for applications.
  • 4. Manage View details of the applications and
    applicant data. Keep track of each applicant's
    payment, transcript, test score status, and more.
    Print Student Application and Materials for
    internal distribution.
  • 5. Archive A storage area where you can file
    away applications that have been fully
    processed.
  • To begin using Application Manager, click on any
    of the section links or headers.

Views
  • APPLICATION MANAGER OVERVIEW
  • By regularly communicating detailed instructions
    and deadlines, and even providing a simple
    checklist of application materials that students
    need to submit, you can alleviate a lot of the
    stress applicants typically feel as they go
    through the application process. The end result
    for you is a higher rate of submitted
    applications.
  • There are different types of actions you can take
    in Application Manager. Major functions such as
    email and the ability to look up message history
    are available throughout all of the sections and
    appear in green or gray buttons.
  • Green buttons perform actions related to ALL
    applicants in the current view of the section you
    are in.
  • Gray buttons perform actions related to the
    selected individual(s).
  • You can adjust the number of applicants displayed
    on each page by clicking Change Page Size to
    include a number from 10 to 200. The smaller the
    page size, the quicker each page will load.
  • Use the User ID link to look up individual
    applicant information.
  • You can sort the applications in this view by
    clicking the appropriate column header..

Home Tab
  • Home The Home section shows you an overall
    summary of all applicants included in the In
    Progress, Receive, and Manage sections.
    (Applicants in the Archive section will be
    excluded from Home searches and actions.) The
    total counts listed in the header are updated
    upon log in. It is possible that, during your
    session, applications will be submitted by
    applicants and received or moved from one section
    to another by the graduate school. In the Home
    section you can communicate with, search, and
    view statistics for any individual or any group
    of applicants from your entire applicant pool.

In Progress Tab
  • In Progress The main purpose of the In Progress
    section is to see how many people have started
    applications for your Program and to contact them
    via email to promote your program, send deadline
    reminders, and encourage them to complete their
    application.
  • The applicants listed in the In Progress section
    have started but have not yet submitted their
    application. In this section, you can view some
    of the applicant data but not all. If the
    viewable fields are blank, that means that the
    applicant has not yet completed these fields on
    the online application. After the application is
    submitted, the applicant summary will
    automatically move from the In Progress to the
    Receive section.

Receive Tab
  • R e c e i v e In the Receive section, you will
    see how many people have submitted applications
    to your Department.
  • The Receive section is simply a holding area for
    applications that have not yet been opened by
    the Graduate School.

Manage Tab
  • The main purpose of this section is to track and
    post applicants status such as payment,
    transcripts, recommendations, and admissions
    decision.
  • Continue to email applicants with school news and
    events and maintain close contact with your
    applicants, until applications are fully
    processed and after the admissions decision is
    made.

Archive Tab
  • The main purpose of the Archive section is to
    hold applications that do not require further
    processing. Please note any applications in the
    Archive section cannot be accessed from anywhere
    except the Archive section.

Viewing Student Information
  • Student information residing in the online
    application is filtered for each department. You
    will only see the information about students who
    have applied to your program.
  • The information within the online application is
    held in a secure server at the Princeton Review.
    The utmost care should be given to all student
    information. The Graduate School,as a policy
    considers, FERPA rules to apply to any materials
    processed by the Graduate School.
  • Security and access to the online application
    will be structured to allow maximum access given
    the level of application processing.
  • Under no condition should students be given
    access to application information or access to
    the Princeton Review without the express
    permission of the Graduate School.
  • User names will remain consistent but passwords
    will be updated and assigned as needed.

ID and applicant information
  • Online application numbers are eight digits.
    Paper applications that have been hand input are
    seven digit numbers beginning with 7.
  • The status of a students application can be
    viewed by clicking the Embark ID number. This
    will open a list of user defined fields.
  • User defined fields are optional fields which can
    be added to record any type of information.
    These fields are shared by everyone.
  • This is where you will find the information about
    what items the student is missing. This is the
    place where the view is pulling information.
  • You only have view access to this screen. So
    dont be afraid to explore.

Clicking on the User ID
  • Clicking on the User Id will open a new window to
    show you the specifics of an application in
    process.
  • Remember that application information is updated
    as student information is available. Updating is
    still done by hand.

Recommendations
  • Clicking on the number next to the UserID will
    open up any submitted recommendations if the
    student has submitted those recommendations using
    the online application. Recommendations
    received by any other means will not appear in
    the online systerm.

  • Please note that you can see the dates when
    actions are completed, such as
  • Application Submitted
  • Application Received
  • Application Complete
  • Application Sent to the Department.

Printing Materials
  • Wherever you see the printer icon, you can print
    the documents associated with this. The document
    will open in a PDF.

Exporting to Excel
  • To transfer information in an applicant data grid
    from your browser to an Excel spreadsheet, Export
    to Excel . To expedite this process, open the
    Excel program before you transfer the data.
  • Your Excel application will open and transport
    the data in current HTML view into an Excel
    format.
  • Each column, row, and the data will be
    represented exactly as it appears on your
    browser.
  • After the spreadsheet opens and the data loads,
    you can manage the data within Excel. To do so,
    save the current Web page into Excel by going to
    the browsers File, Save As, Save As Type, and
    then choosing your preferred Excel worksheet.
  • Please note that any change you make to the Excel
    spreadsheet cannot be transferred back to your
    Application Manager account.

View Statistics
  • Click to view a graphical representation of the
    applicant data in the specific section. Once you
    are on the Statistics page, you have the
    opportunity to select the information you wish to
    view.
  • Select Date Range (optional)If you want to see
    details of the selected criterion on specific
    dates, choose the criterion and the start and end
    dates.
  • Select Display DataChoose the criterion from the
    drop list.
  • Click to view the graphics.
  • Click to cancel and return to the Section Summary
    page.
  • The column headers (Value, , Count) are
    sortable. Click the column header to sort by
    ascending or descending order.
  • Note if applicants did not fill out the
    application data or if they opted out of
    releasing their information, the statistics
    report will not account for the missing data and
    may result in incomplete numbers.

Emailing Applicants
  • Emailing users allows you to communicate with
    applicants in each section of Application
    Manager.
  • Send reminder messages to urge users to finish
    incomplete applications, invite applicants to
    events, or send admissions notices to accepted
    students.
  • You can email an individual, a specific group, or
    everyone all within one section. All sent
    messages are saved under Message History
  • Note Email messages in Application Manager are
    in plain text only.
  • Email Individuals
  • 1. Select who will receive your message by
    checking the box of the individual(s) you wish to
    contact.
  • 2. Click . Email Individuals
  • 3. Create a message according to the instructions
    and send.
  • Email All
  • 1. If you want to email everyone in the section,
    go directly to Email All and send a new or
    retrieved existing message.
  • 2. If you want to email a select group of
    applicants, first go to Saved Views or Basic
    Filters to retrieve the right candidates. Then,
    click Email All to send a new or retrieved
    message.
  • 3.Email All will include applicants in the
    current view only.

Creating an Email
  • When generating an email message, you can create
    a new message or retrieve an existing one. All
    required fields are marked with . Follow the
    instructions and hints that are provided.
  • Message Name (internal only) Select a name that
    will relate to your message. Once a message is
    saved or sent, it will be available in the for
    future reference.
  • Name of Sender This is what will be displayed as
    the sender when the applicant receives the
    message. We suggest you use the program or school
    name instead of your name, since the applicant
    may not know who you are. The email function will
    not release your email address.
  • Subject of Message This is the live subject of
    your email message. Include your school name
    and/or the purpose of the email message.
  • Personalized Greeting Decide how you want to
    address the applicant.
  • Body Text Leave Greeting in the body text
    area. The greeting will automatically insert the
    name into email message. Copy and paste the
    message you have composed and spell checked ahead
    of time in a Word document.
  • Response If you want applicants to respond to
    your email, check the box and type in the email
    address that will receive their responses.
  • Eliminate Applicants Exclude applicants who have
    received this email in the past (determined by
    the message name).
  • CC Check this box to send a copy of the message
    to yourself. Note if you CC yourself on the
    message, recipient will be able to reply directly
    to you.
  • Use PREVIEW to view the message before sending
    it out.
  • SEND the email. The message is automatically
    saved and available for retrieval.
  • SAVE the message but dont send it out.
  • CLEAR the text so you can start over.
  • CANCEL End the email job and go back to the
    Section Summary page.

Coming Soon
  • Soon you will be able to access all student
    information through the online application to
    include Test Scores, Transcripts and other
    documents.
  • Soon all processing will take place in the online
    application.
