2Web Time Entry System
- Welcome to Cochise Colleges Web Time Entry
System. It was developed to streamline the
reporting, reviewing and payment of employee
wages. This system not only provides a cost
savings but minimizes errors. - Employees are able to go to the World Wide Web at
their convenience to record their hours worked
and exception time, as well as make corrections
to their time sheet.
3FullTime Non-Exempt Employees
- Everyone will have some contact with Web Time
Entry but the type of contact will vary. As a
full-time non-exempt employee, you will enter
time in and time out for hours worked and any
leave taken during the current pay period. Leave
includes personal, sick, annual, bereavement,
jury duty, etc. - An approver will review and approve an employees
time sheet.
4Pay Cycle
Pay Period (Sunday through Saturday)
Pay Day
The Payroll cycle is Sunday through the second
Saturday. Pay dates are marked on the Cochise
College Calendar in red.
Approvers or proxies must approve timesheets by
1000 am Monday unless otherwise directed by
Payroll.
Employees must submit timesheets for approval
following the end of a pay period unless
otherwise directed by Payroll.
5Process
- Web Time Entry is an Internet based system. You
are able to use the system anywhere you have
access to the Internet.
6Process Overview
- Go to a Timesheet
- Enter Hours
- Copy Hours
- Preview and Print a Timesheet
- Submit a Timesheet
- Exit
7Go to a Timesheet
- Access the Internet.
- Go to the Cochise College home pagewww.cochise.ed
u - Click on My CC Account.
8- This will take you to the Login screen. Follow
the instructions noting in particular the PIN
parameters. - Click on the User ID field and enter your
Employee Identification number, or C number.
Note the C must be capitalized. - Click in the PIN Field and enter your PIN which
is initially set to your birth date in MMDDYY
format. - Click on the Login button.
- If this is the first time you have logged on to
Banner Web you will see additional screens that
require you to change your PIN, give a security
question and answer, and affirm you understand
usage.
9Main Menu
- Click on Employee Services.
10Employee Services Menu
- There is a employment information available on
this menu. For Web Time Entry you only need to
be concerned with Time Sheet. Click on the words
Time Sheet. - Request Time Off allows you to request time off,
up to a year in advance. It is not for requesting
time off during the current pay period.
11Position Selection
- If you have more than one job they will be
listed. Choose the position for which you want
to input hours by clicking on the radio button
next to the appropriate job. - The Pay Period and Status of that particular pay
period are listed in the drop down box to the
right. Different statuses have different meanings
and will tell you where that pay period timesheet
is in the process. (Statuses are Not Started, In
Progress, Pending, and Approved, Return for
Correction, and Error.) - Click on Time Sheet.
12The Time Sheet
- The top of the screen displays Position
Information, Time Sheet Period, and Submit By
Date.

- The middle of the screen displays Earning codes
and one week of the two week pay period. -
14The Time Sheet
The bottom of the screen displays navigation
buttons and approval information.
Position Selection Allows the selection of
additional jobs for time entry. Comments
Enables the entry of a text message to your
supervisor. Preview Presents a screen in which
both weeks of the pay period show. Submit for
Approval Moves the completed Timesheet into the
queue for the Supervisor to approve. Restart
Deletes all entries and allows entry of
changes. Next Moves the screen to the second
week of the pay period.
Remember to click on NEXT to see the second week
of the pay period
15Make a Single Time Entry
- To make a single time entry, click on Enter Hours
for the date and earning code you want to report
time for.
16Make a Single Time Entry
- Log your work Time In and Time Out in 15 minute
intervals. The format is 1000. The colon must
be typed. - Click the Save button to save the entry.
- If you want to copy the work hours to additional
dates, click the Copy button. - If you do not want to copy, click Timesheet
button to return to the Timesheet.
17Copy a Time Entry
- To copy a single leave entry to other dates,
follow the instructions on the screen. Click on
the Copy button to copy. - Note the warning that if you select the same date
you are copying from, your hours will be deleted. - After copying, return to the Time Sheet.
18Print a Time Sheet
- To print a summary of your time sheet entries,
click the Preview button on the Time Sheet page.
The Preview screen will open. Note that you need
to set your printer to landscape orientation and
may need to adjust margins.
19Submit a Time Sheet
- You will submit only at the end of the pay
period. Be sure to make changes before you submit
as you will not be able to edit your entries
after you submit the Time Sheet to your approver. - On the Time Sheet screen, click the Submit
button. An information item at the top of the
screen shows that your submission is successful.
20Exiting
- When you are finished, click on the Exit located
