Logging In
  • Civilian Servicing Unit (CSU) Application
    provides supervisors and managers with civilian
    personnel data at their desktop workstations,
    without having to call the civilian personnel
    office.
  • Special Note
  • The data comes from the main civilian personnel
    DCPDS database and is not more than one day old.
  • Additional data (payroll and leave) comes from
    the Defense Finance and Accounting Service (DFAS)
    payroll system and is updated each pay period
    (every two weeks).
  • CSU Application users are given access to records
    of the employees in their organization only.
  • The data in the CSU Application is the same data
    that is used when creating or running reports
    used with the modern DCPDS.

Logging In
  • Double-click the CSU icon from your workstations
    desktop

  • Enter Username
  • Enter Password
  • Enter Database
  • Click Connect
  • TAB or use your mouse to move between fields

Shortcut Use the ENTER Key instead of clicking
the Connect button

  • When you connect to the CSU Application, the
    Options screen will display
  • Click OK
  • The main menu will display
  • Youre ready to begin!

CSU Option Buttons
  • The CSU Application Main Menu has the following
    buttons

Button Description Displays Provides access to
screens of data about one employee.
Reports Provides access to various standard
reports such as an alpha roster, suspense
report, etc. Sys Adm. Used to perform systems
administration tasks. Password Used to change
your password. Prod. Used to produce
productivity reports regarding timeliness of
personnel action processing. Form 75 Used at
the HRSC-SE to generate information about an
employee who is transferring to another region
or component or agency. Exit Used to exit
from the CSU application

Change Your Password
  • Enter information.
  • Click Ok.
  • You should change your password at least every 90
    days

NOTE REMEMBER YOUR NEW PASSWORD, and use it next
time you log in to the CSU. If you forget your
password, or it expires, contact the HRSC-SE Help
Desk.

Exiting from CSU
  • Click Exit
  • This will disconnect you from the HRSC-SE
    computer and return you to your normal Windows
    desktop

The Display Screens
  • The contents of the 34 display screens are
    summarized below, grouped into the five major
    categories just as they appear on the Displays
    menu screen.
  • These major categories are further divided into
    sub-categories (gray buttons) such as benefits,
    education, training, suspense, etc.
  • You can click on any of the gray display screen
    buttons if you know which screen you want to
    view.

NOTE Also see the Index to CSU Application
Data,which contains a list of commonly used
personnel data items showing which screen
contains that piece of information.

Human Resource Management
  • The Human Resource Management category contains
    the following screens

Screen Description Army Position Position data
unique to Army employees, such as AMS code,
TDA paragraph and line number, cost center,
and APC code. Leave The employees current
leave balances for annual and sick leave,
use or lose leave, and other leave
information. This data is current as of the
last pay period and comes from DFAS payroll
records. Position 1 Position control and
manning data, including supervisory level,
position sensitivity, bargaining unit, duty
station, and other position-related data.

Human Resource Management
  • The Human Resource Management category contains
    the following screens

Screen Description Position 2 Career
program data, obligation information, and
environmental differential pay data.
Resource Payroll data for the employee,
arranged by pay period. This data comes from
DFAS payroll records and is updated once a pay
period. Retained Data related to employees
on retained grade.

Civilian Career Brief
  • The Civilian Career Brief category contains the
    following screens

Screen Description Acquisition Acquisition
data for employees in acquisition workforce
positions (procurement, contracting,
etc.). Appraisal Current and last three
performance ratings, and next rating due date.
Promotion factors, displayed on the lower
half of the screen when an employee record is
being viewed, is not used by Army. Awards Inf
ormation on the awards received, showing type
of award, amount, and date. Career Career
program information pertaining to the
employees current position and previous
career program registrations in past
positions.

Civilian Career Brief
  • The Civilian Career Brief category contains the
    following screens

Screen Description Education Degrees,
educational programs, schools attended, and
major fields of study. Use the left-right
scroll bar under the Educ Lvl section to
display additional information pertaining to
each educational endeavor. Training Informatio
n on training courses completed by the
employee. The basic screen contains the course
title, ending date, and hours additional
information about the course is available by
clicking on one of the blocks pertaining to the
course, then clicking the ltHistorygt button at
the bottom of the screen. Language/Japan Conta
ins foreign language skills and occupational
certifications and licenses.

Demo Project
  • The Demo Project category contains the following
    screens

Screen Description CCAS Info Salary and
appraisal information for demo project
employees using CCAS. Army Demo Pay data for
employees in Army demo projects. NV Warfare
Data for employees in Navy Warfare demo
projects NRL Demo Data for employees in Navy
Research Lab demo projects. China Lake Data
for employees in the Navy China Lake demo
project. Demo Appraisal Performance appraisal
information for employees in various
demonstration projects.

Personnel Processing
  • The Personnel Processing category contains the
    following screens

Screen Description Basic Commonly used data
about the employee, such as PD number, pay
data, address, type of appointment, veterans
preference, and security clearance. Benefits H
ealth and life insurance, thrift savings (TSP),
and retirement information. Detail 1 One of
two screens containing information pertaining
to employees who are detailed to a position
other than their permanent position. Detail
2 Additional information pertaining to a
detailed employee. Japan Information on
Japanese local national employees (indirect
hires).

Personnel Processing
  • The Personnel Processing category contains the
    following screens

Screen Description LN Basic Information on
local national employees (overseas
areas). Military Military service, reserve
status, veterans status, veterans
preference. Mob/Emr/Ess Mobilization
requirements and emergency essential
information). Perf/Disc Disciplinary actions
taken, and performance improvement plans
resulting from disciplinary actions. RIF Info
rmation pertaining to an employees tenure and
retention standing, such as veterans
preference, service computation date,
competitive level, tenure, subgroup, and
performance ratings.

Personnel Processing
  • The Personnel Processing category contains the
    following screens

Screen Description Supp Pay Supplemental pay
data when applicable. Also contains
information on Italy, Belgium, and Korea
pay. Suspense Due dates for a variety of
personnel actions, such as within-grade
increases, appointment expiration (temporary
employees), leave without pay, retained
grade, temporary promotion, details,
probationary periods, and benefit election
suspenses.

  • This brings up the selected data screen.
  • At this point the screen contains no data until
    you retrieve an employee record.

NOTE Each data screen has the same header
information at the top (employee name, SSAN,
position title, etc.)

  • Blue fields indicate that there is a pop-up
    window associated with that field.
  • Click PAY DATA
  • Clicking on the blue field labeled PAY DATA
    displays a window of pay-related data (basic pay,
    locality pay, etc.).

How to Retrieve an Employees Record by Name
  • Type in part of the employees last name followed
    by a percent sign () in the employee name block
    at the top of the screen.
  • For example, to find the record for an employee
    named Michael R. Jones, you could type JONES or
    JON or JONES M, then click Execute Query.

NOTE The computer will identify all employees
whose name begins with the letters you typed, and
display these records one at a time.

  • (Shortcut) hit F8 key instead of Execute Query
  • Click Next
  • If the displayed record is not the one you wanted
    (that is, there is more than one employee whose
    name starts with the letters you entered)

(Shortcut) Use the down-arrow key or Page Down
key on your keyboard, to page through the
selected records until you get the one you want.

  • Click Previous
  • Returns you to a previously displayed record.
  • To move from record to record, use the Next and
    Previous menu selections at the top of the
    screen.

(Shortcut) Use the up-arrow key or Page Up key
on your keyboard, to page through the selected
records until you get the one you want.

  • The small arrowhead pointing down at the bottom
    of the screen means you have more Next records.
  • The small arrowhead pointing up at the bottom of
    the screen means you have more Previous records.

Retrieving the Record of Another Employee
  • Click Query
  • Shortcut hit F7 key instead of Enter Query
  • Click Enter Query
  • The Basic Employee Information Screen Appears

  • Navigate to the screen containing the data
    field(s) on which you want to base your query.
  • Example for finding employees who have Blue
    Cross/Blue Shield Insurance (10) go to the
    Benefits screen since this screen contains a
    field labeled HEALTH PLAN

Special Note Besides pulling up records of
specific employees by name, you can create
"queries" using the display screens to find
employees who meet certain criteria for example,
you can enter a query to find which employees in
your organization are under the Blue Cross/Blue
Shield Health Plan (10). When your query is
executed, you will have access to the set of
records of employees who meet your criteria.

  • Click Health Plan
  • A table of values associated with this field
    appears
  • Click on the value for which you want to seek. In
    our example, click on 10
  • Note Do Not click Close

  • Click Count Records

Special Note It can take time to process your
request, particularly if you have access to a
large number of records. Be patient! The screen
will indicate "Working..." in the lower left
corner while your request is processing.

  • Once your query is completed, you will have a
    total number of people who matched your query.

Special Note If there are no records that met
the criteria, there will be a message in the
middle of the screen saying Query will retrieve
0 records.

  • You can also run a query using multiple values.
  • Go to the Position Data Screen 1
  • Enter 8 in SUPV LEVEL
  • Enter 8888 next to BARG UNIT
  • Enter 65886 next to UNIT ID CD

In this example, we want to run a query to see
how many employees are in UIC 65886, Bargaining
Unit 8888, and are in a non-supervisory position.

Multiple Value Queries
  • Click Query
  • Click Count Records
  • Once your query is completed, you will have a
    total number of people who matched your query.
  • In this example we had 143 employees who matched
    our query.

  • You can also get all of the employees records
    that match your query.
  • Click Query
  • Click Execute Query
  • Once your query is completed, you will have
    access to the set of records that match your
    criteria.
  • Selected records are in alphabetical order.
  • If there is more than one record, there will be a
    small arrowhead pointing down at the bottom of
    the screen.

Multiple Value Queries
  • The "Count" indicator at the bottom of the screen
    shows what record number you are currently
    displaying, and will indicate the total number of
    records selected if you move to the last record.
  • (Shortcut) You can also use the Record menu to
    move to the first or last record or to a specific
    record number.

  • Click Exit
  • You are now back to the Displays Screen
  • Click Exit

  • Click Reports

The Reports button in CSU Application allows
you to generate a variety of canned reports
about your workforce, such as an alpha roster,
awards report, or a suspense action report.

Process a Report
  • The Reports menu will appear.
  • Click on the report you want to run.
  • To highlight it use the scroll bar at the right
    side of the screen to see the entire list (listed
    alphabetically by report name).

It may take a few moments for the request to
compile. Be patient! The report will display
on your screen in preview mode.

  • The Sort Sequence window will appear

  • Enter 1 in the Sequence Box next to the BIRTHDAY
    row.
  • Click OK

In this example we want to sort by the
employees date of birth and then by the
employees name.
