Human Resources Compliance Best Practices
2
  • Human resources compliance best practices are a
set of actions that an organization should take
to ensure its compliance with federal, state and
local laws. The term "best practices" refers to a
standard that has been proven effective in
improving performance or efficiency. It can apply
to any organization that must comply with the
    same laws or regulations.
  • Organizations often make mistakes when it comes
to human resources compliance best practices
because they don't have the right systems in
place or they lack proper training for their
employees. For example, if an employer doesn't
have a system in place for handling employee
complaints, it may not be able to address issues
properly or in a timely manner.

  • Here are some best practices for creating an
    effective HR compliance plan
  • Communicate with employees about whats expected
of them. Make sure you have written policies and
procedures in place that cover everything from
    employee benefits to workplace safety.
Communicate those policies clearly to all
employees, so that there is no doubt about what
    is expected of them.
  • Ensure that your HR department has appropriate
training on employment laws and regulations. This
will help them answer questions from managers and
    employees about legal matters.

4
  • Make sure all managers receive training on how to
    handle performance issues appropriately without
violating employment laws or engaging in
discrimination against any protected classes of
people such as race, gender or age.
  • Have clear processes in place for handling
    complaints from employees regarding perceived
violations of company policy or discrimination
based on protected groups such as race, gender or
age. These processes should include reporting
requirements so incidents can be documented if
    necessary.

5
  • These days, employee records can be stored
electronically, on paper or both. Regardless of
the medium used to store employee records,
organizations must have at least one copy of all
documents, such as employment applications and
employee contracts, in a central location. In
addition, any changes made to employee records
    must be recorded in writing.
  • Employees should be trained on company policies
and procedures so they know how to handle
situations when they arise. This training should
include tips on how to deal with difficult
situations as well as what steps should be taken
if an employee is accused of breaking company
policies or committing illegal acts such as
sexual harassment or discrimination against other
employees based on race, gender or age.

  • Payroll processing is an important part of human
    resources compliance because it involves
processing payroll tax information. To ensure
that your payroll taxes are processed correctly,
you should keep accurate records of employees
activities such as job classifications and pay
rates. You should also make sure that your
    organizations payroll software is configured
properly to meet IRS rules and regulations
    regarding payroll withholding calculations.
