Base calendars
  • Every project is linked to a base calendar
  • You create a custom base calendar to incorporate
    company holidays and working times into the
    project schedule
  • All tasks are scheduled according to the dates on
    the base calendar to which the project is linked

  • Choose Tools, Change Working Time

  • Click New and enter the calendar name Company A
  • Select Create New Base Calendar
  • Click OK (now working on Company A Calendar)

  • Company A is on a 4 day workweek. Specify working
    time for the working days Click the column
    heading for Monday (highlights whole column) and
    on the right side, select non-working hours.
    Click OK
  • To double check, Tools, Change Working Hours

  • Select drop down box for Calendar, and select
    company A. Click OK.
  • Enter new task Lay Foundation, duration 10
    days.
  • Notice it spans 10 working days.

The resource pool
  • Is a list of resources needed to complete a
    project
  • Two types
  • Work resources perform work on a task (people and
    equipment)
  • Material resources are the things needed to
    perform work on a task (paint, wood, fuel)

Resource calendar
  • Contains the information that is specific to a
    resource
  • To create a resource calendar
  • Select a resource George
  • Double click or select tool Resource
    information.
  • Activate the Working Time tab
  • George only works Tuesdays, Wednesdays and
    Thursdays.
  • Make the necessary changes in the calendar
    (Hilite non working days).
  • Click OK

  • To assign resources
  • Switch to Gantt Chart view
  • Add a task lay cable for 15 workstations, 15
    days.
  • Choose Tools, Assign Resources or find on toolbar
    (little people).
  • Select cable click Assign. Drop down table
    Units15.
  • Select George, Click Assign, 100
  • Select Mary ,Click Assign, 25
  • Click Close (duration now30 days)

Assigning a resource to multiple tasks
  • Enter new tasks Configure server, 5 days
    Configure switch, 5 days.
  • Select both tasks
  • Open the Assign Resources dialog box
  • Select the resource name George
  • (To select multiple resource names to assign to
    multiple tasks, select all resource names (Ctrl
    click))
  • Click Assign

Task calendars
  • Used to specify working times that differ from
    the project calendar or resource calendars
  • Define exceptions for scheduling individual tasks
    such as equipment maintenance
  • Take precedence over the project calendar
  • Equal in importance to a resource calendar

Task calendars
  • Create new base calendar
  • Tools, Change working time, NEW, name test.
  • Change Saturday morning from 9am-3pm to be
    working hours. (Hilite title for Saturday,
    choose non default working time, change to
    9am-3pm). Click ok.
  • Notice schedule bar for lay Foundation.
  • Double click OR Hilite lay foundation, then
    Project, Task Information.
  • Choose the Advanced Tab. Change drop down list
    for Calendar to Test.
  • Click on Scheduling ignores resource calendars.
    Click OK.

Using the Cost table
  • Switch to Gantt Chart view
  • Choose View, Table, Cost (more views)
  • For lay foundation under Fixed Cost field,
    enter 15000.
  • Notice each task has a cost. If you add a
    project summary line (and adjust format), you can
    see total project cost.
