2Logging on to Outlook Web Access
- Double click your Internet Explorer icon which is
located on your desktop.
- 2. In the address field type https//hcpsowa.hcps
.org and tap Enter. Once this screen appears,
add as one of your favorites. - 3. In the logon box type your OWA username and
password. - 4. DO NOT check the box to save this password to
your password list?, click OK.
35. After successfully logging into Outlook Web
Access (OWA), the screen below will appear. The
inbox is the default window in OWA.
6. The number of new messages in your inbox
appears in parentheses next to Inbox. The Inbox
displays new messages in bold type. Once opened,
the messages revert to normal type.
You can logon to OWA and check your email 24/7
from ANY computer ANYWHERE that has internet
access and Internet Explorer 5.5 or 6.x installed.
4Opening and Reading Your Messages
- Before you open a message, be sure its from
someone you trust and are expecting an e-mail
message from. - New e-mail messages always arrive in the Inbox
and are displayed in bold type. Double-click the
message to open it, or select the message and
then press ENTER.
Double click on e-mail you want to open.

How many unopened e-mails you have
53. When you open an e-mail message in Microsoft
Office OWA, its displayed in the read message
form. The read message form heading displays the
following information From -- The
name (or e-mail address) of the sender or
organization. To -- The names
(or e-mail addresses) of the primary recipients.
Cc -- The names (or e-mail addresses)
of the carbon-copy (cc) recipients.
Subject -- The subject of the message.
Sent -- The date and time the message was
sent. Tip -- To get more information about a
sender or recipients, such as the persons street
address or phone number, double-click their name
in the From, To, Cc box.
6Move Or Copy A Message
To move or copy a message to an existing folder
1. Open the message you want to move or
copy. 2. On the toolbar, click Move/Copy.
3. In the Move/Copy Item dialog box, select
a destination folder and then click Move or Copy.
7To move or copy a message to a new folder
1. Open the message you want to move or copy. On
the toolbar, click Move/Copy. 2. In the
Move/Copy Item dialog box, click New. 3. In
the Create New Folder dialog box, in the Name
text box, type a name for your destination
folder. 4. In the Folder contains menu,
select the appropriate item for your new folder,
and then click OK. 5. In the Move/Copy Item
dialog box, select the new folder, and then click
Move or Copy.
8Reply To Or Forward A Message
To reply to the sender of a message 1. On
the read message form toolbar, click Reply. When
you click Reply, the To text box is already
addressed to the sender of the original message.
2. The text of the original message is
copied into the message body. Type your reply
within or above the senders original message.
9To reply to the sender and all other recipients
of a message 1. Same as above except,
click Reply to all. When you click Reply to all,
the To and Cc text boxes are already addressed to
the sender, as well as every other recipient of
the original message.

10To forward a message 1. On the Read
Message form toolbar, click Forward. 2. In
the To box, type the e-mail address you want to
forward the message to. 3. The text of
the original message is copied into the message
body. Type your reply within or above the
senders original message.
Address a reply when forwarding 1. When
you forward a message, you fill in these names
yourself. In the To or Cc text boxes, type the
persons name or e-mail alias, or click To or Cc
to open the Find Names dialog box.
11TIP The Find Names dialog box allows you to
search your organizations global address list or
your contacts for a recipient. After you locate
the person, you can add the name directly to your
e-mail message.

To add a Blind Carbon Copy (Bcc) recipient to the
Bcc text box, repeat the above steps.
NOTE -- Bcc recipients receive a copy of the
message, but their names dont appear in the list
of recipients. Each Bcc recipient cant see the
names of the other Bcc recipients.
12Deleting An E-mail Message
- There are two ways to delete messages
- To delete an open message, click the Delete
button on the message window toolbar. - To delete a message while viewing the message
list in the inbox, click to highlight the message
you wish to delete. Next, on the main OWA
toolbar, click the Delete button. - TIP -- To select consecutive messages, click on
the first and last messages in the series
while holding down the Shift key. - -- To select non-consecutive messages, hold
down the Ctrl key as you click on each message
you want to delete. - 3. With the messages selected, on the main OWA
toolbar, click the Delete button.

13- Deleted messages are sent to the Deleted Items
folder. They are not removed permanently unless
they are deleted from the Deleted Items folder. - To delete items from the Deleted Items folder
- Right click the Deleted Items folder.
- Click to select Empty Deleted Items.
- Click OK.
14Attachments
Attaching An Attachment To A Message
- You can attach any type of file that is
accessible from your computer or through your
network to an e-mail message. - When creating your attachment item, click Add
Attachment on the toolbar. - In the Attachments dialog box, type the path to
the file under Choose a file to attach, or click
Browse to locate the file. - Highlight the file you want to attach and click
Attach. The file will appear under Current File
Attachments. - Repeat steps 1-3 for any additional files you
want to attach. The files you selected are
displayed in the heading, next to Attachments.
15Reading An Attachment
When a message contains an attachment, Microsoft
Office OWA displays a paper clip icon next to it
in the folder listing. When the message is
opened, the name of the attached file appears in
the message heading information. Some
attachments, such as .txt and .gif files are
opened directly by the Web browser.
Viewing An Attachment
Double-click the attachment file name, located in
the message heading information. The attachment
will open in a new browser window.
16Creating Deleting Folders
By default, messages sent to you are stored in
your inbox. However, you can organize your
messages into a folder system similar to your
S-drive on your schools server. The only
difference is that you can only hold about 10
megabytes in your inbox folder. So, get rid of
anything not important before you get an
automated message from OTIS. For example, you can
create a folder called Family Involvement
Program. Within that folder you can have
subfolders for each person you regularly
correspond with.
17Creating a folder can be done several ways
1. Under the Folders side of you OWA screen,
right click on the main folder you want to add a
new folder. The selection box appears. Holding
the right click down, scroll to New Folder until
highlighted. Release click.
- In the Create New Folder dialog box, type a name
for the new folder in the Name box. - You can make new folders on as many sublevels as
you want.
Deleting A Folder
Deleting a folder is the same with any Microsoft
Program. Highlight the folder you want to
delete, right-click, scroll down to delete and
release button. Or just hit the delete button on
your keyboard.
18Contacts
- Contacts is your personal e-mail address book and
place to store information about the people and
businesses you regularly communicate with. You
can use Contacts to store the e-mail address,
street address, phone numbers, and any other
information about the contact. This can include
Web pages, fax numbers, or cell numbers. - You can sort or group contacts by any part of
their name or by other contact information. You
can also move or copy a contact to a different
folder, or attach a file/document to a contact to
keep relate information together. - To Create a New Contact
- Click on Contacts on the toolbar
on the left
hand side under the
folders section. - Next, click on New in the main section.
On the General
tab, type the information
you want to include for
the contact. - When you are finished, you must click Save and
Close.
19Distribution List
- If you are regularly send e-mails to the same
people, you can create a distribution list to
make e-mails easy on yourself. Distribution
lists can include anyone with a valid e-mail
address. - 1. On the main toolbar, click the arrow next to
New, and then click Distribution List. - In the new distribution list window, in the List
Name text box, type the name of your distribution
list. - To add a member of your organization to your
distribution list, click Find Names. When you
find the person you want to add, click Add
recipient to . Distribution List. Repeat this
step for each person you want to add. - To add a personal contact or a person outside of
HCPS type the contacts name or the persons
e-mail address in the Add to Distribution List
text box, and then click Add. Repeat as needed.

Logging off is a must. You need to make sure
that you sign off or someone could hack into your
e-mail.
