2Purpose of the Quality Assurance Process
- To ensure that documents published by the USOE
and USOR display a professional quality of
appearance and content, along with Board
formatting requirements.
3Steps of the QA Process
4Complete the Quality Assurance Form (obtained
from Janet Medranos desk in Administration or
online), making sure to check the appropriate
boxes for editing and/or graphics.
Step 1.
5Submit completed draft text as hard copy, on a
computer disc, or by e-mail to Mark Peterson in
Public Relations, 1st floor, USOE building.
Step 2.
6Request is forwarded to Emily Iizuka,
Publications Editor, for proofing and editing.
Step 3.
7Document is returned to original party for
correction. (Steps 3 and 4 will be repeated
until the document is approved by the editor.)
Step 4.
8Following approval, the document is either
returned to the original party for printing and
distribution, or (if design and layout are
requested) forwarded to Graphics.
Step 5.

of editing marks found inside the back cover of
The Gregg Reference Manual, Ninth Edition.)
Common Editing Marks
take out a word or punctuation mark close
space insert space change to lower case
change to upper case leave as it was
transpose insert a period (or semicolon, comma,
etc.) move to the right move to the left
center
or
10Spell-check documents before sending them to the
editor.
11Make sure your document has the correct logo
every document created by USOE or USOR should
bear the agencys logo.
12Please return the old, marked-up draft copy of
the document along with the new draft.
Comparing the two makes it easier for the editor
to locate any errors that still remain.

extra copies of The Gregg Reference Manual, Ninth
Edition (the agencys official style guide)
available from the Publications Editor.

Spell check
Finalized text on disk or as hard copy.
Submit finalized text with completed form to Mark

building.
Request is forwarded to QA Editor, Emily Iizuka,
for proofing and editing.
This step will be repeated until document is
approved by QA Editor.
Document is returned to original party for
correction.
Document is forwarded to Graphics for design and
layout if requested.
Original document is returned to client for
printing or distribution. NOTE Only approved
documents will be printed by the printing
department
