- MEETINGS are a gathering of people for a purpose.
- Meetings can be either formal or informal
3Types of Meeting
- There are 2 main types of meetings
Formal Meetings
These are held all the time in business. These
can range from the weekly Sales Team meeting to
the Personnel Manager meeting with a member of
staff to decide on his holidays.
These are normally held for a specific purpose
and at regular intervals. Eg an AGM or monthly
Board Meeting These must follow rules.

4Annual General Meeting
- All public limited companies must hold an annual
general meeting to which all shareholders are
invited - The AGM is required by law and the regulations
are laid down by the companies Act - The AGM gives the shareholders the opportunity to
discuss the performance of the company during the
year, discuss the future plans and elect office
bearers

5Extraordinary General Meeting
- A meeting open to all shareholders
- Normally called to discuss special business which
cannot be held over until the next AGM

6Board Meeting
- A regular meeting of the Board of Directors to
discuss strategic and tactical decisions relating
to the business

7Committee Meeting
- Committees are formed to carry out certain tasks
and report back to the Board of Directors - Meetings are held to look at certain issues and
make recommendations to the Board of Directors - Eg whether the company should expand into a
particular market

8Why are meetings important?
- They provide an opportunity for people to have a
face-to-face discussion for - the exchange of information and views
- the delegation of tasks and responsibilities
- a shared approach to problem solving
- making decisions

Effective meetings often produce better ideas,
plans and decisions than a number of individuals
working alone.

- Well organised and well run
This is why the role of the Secretary and the
role of the Chairperson are crucial for a
successful meeting

- An important part of the Secretarys role prior
to any meeting is - the selection of a venue for the meeting.
Meetings can be held on the organisations
premises (internal) or at an external venue
