Phase?
- Its part of Phase 1 Project Preparation
- The purpose of this phase is to provide initial
planning and preparation for your SAP project.
Although each SAP project has its own unique
objectives, scope and priorities, the steps in
Phase 1 help identify and plan the primary focus
areas to be considered. - As you prepare for your SAP implementation,
there are important issues you must address at
the beginning of the project, including
3- Defining your project goals and objectives
- Clarifying the scope of your implementation
- Defining your implementation strategy
- Defining the overall project schedule and
implementation sequence - Establishing the project organization and
committees - Assigning resources
- By addressing these issues early in your
implementation, you help ensure that the
project proceeds efficiently, and that you have
established a solid foundation for a successful
SAP implementation.

- Quality Check Project Preparation Phase
- The purpose of this work package is to provide
final verification of all prior project planning
and deliverables from this phase. Its critical
that regular quality checks be performed
throughout the phase, as tasks are completed. All
issues regarding scope, project environment and
initial technical setup must be addressed. -
8 1.6.1 Perform Quality Check and Obtain
Approval The purpose of this activity is to
collect all deliverables and to review them
together for completeness and accuracy. Quality
checks are performed as specific tasks are
completed. However, it is also critical to review
deliverables in total because individual results
from one task can have an adverse impact in
another area of the project. Upon completion of
this quality check, signoff is obtained and the
project proceeds to the next phase.

101.6.1.1 Conduct Quality Check

- The purpose of this task is to collect and
review the status of all deliverables from this
phase to ensure that all activities, tasks, and
deliverables are complete. - This is an internal quality check carried out
by the project manager and should not be confused
with Determine Quality Assurance Standards, which
addresses external, independent quality checks.

- Review project charter and verify completeness
- The project charter needs to address the
project mission statement, business drivers, and
business and project measurements. - Verify that an implementation strategy has been
chosen - Ensure that the project team room has all
necessary components - If necessary, review the Project Room
Requirements White Paper.

- Verify that needed project team roles are filled
- Review the project plan components for
completeness - The project plan consists of three different
parts the work plan, the budget plan, and the
resource plan. - Review the organizational change management plan

- Review the project team training plan
- At this point, the project team should be
scheduled for both level one and level two
training. If possible, it is recommended that
level two training begins before Business
Blueprinting. This helps the team visualize their
business processes using an SAP system. - Validate that all project management standards
and procedures have been created - The standards for project communication,
documentation, issue and scope management, team
building, project planning and monitoring, and
quality assurance need to be reviewed. Make sure
that owners are identified for issue and scope
management and that procedures are in place for
addressing issues and changes in scope.

- Validate that all implementation standards and
procedures are created - Standards for system configuration, end
user training and documentation, testing,
post-implementation support, and system
authorizations need to be reviewed. Also, the
system problems and errors handling, and the
system enhancement and modification approval
process, need to be reviewed. - Make sure the project kickoff has occurred, or is
scheduled - Verify that the system landscape strategy is
agreed - The landscape strategy includes the
number of required systems, client deployment
strategy, release strategy, and transport system
strategy. - Validate that the initial system is installed and
remote connection is ordered

- At this time, it is beneficial to use the
SAP Concept Check Tool to help analyze the
organization and critical factors in the Project
Preparation Phase. It covers the following
topics - Project organization
- SAP system infrastructure
- Client concept
- General reporting limits
- The current analysis focuses on project
organization and performance-critical factors.
You perform analyses by completing checklists.
After completing each checklist, you receive a
report, which has to be discussed with the
project management. The report provides important
information for the project organization.

- Team SAP Project Manager
- Description
- Assist the customer project manager in the
definition and execution of project deliverables
and the day-to-day management of the entire
project. The TeamSAP project manager is the main
liaison for the TeamSAP members including the
steering committee, project sponsor, and partner
management as appropriate. - The TeamSAP project manager must be able to
proactively anticipate project deviations with
the customer project manager, communicate such
deviations when appropriate to steering committee
members, project sponsor, and TeamSAP management
and facilitate taking immediate corrective
action. - The TeamSAP project manager is responsible
for the ongoing management of SAP resources
assigned to the project and for the tracking of
the SAP consulting budget. -
17- Customer Project Manager
- Description
The customer project manager owns the project
deliverables and is responsible for day-to-day
project management. The customer project manager
is the primary liaison with the steering
committee and project sponsor, as well as the SAP
(or partner) consulting team. Most SAP
implementation projects have both an TeamSAP
project manager and a customer project manager
(this should always be the case to assure the
coordination of the customer project team as well
as the communication channels). The
responsibilities outlined below should be split
between the two project managers, based on the
skill sets and experience levels of both
individuals. This division of responsibilities
varies from project to project. The TeamSAP
project manager and the customer project manager
should work in a very close relationship during
the entire project. An open and cooperative way
of working is particularly important for these
two parties.
18The customer project manager must proactively
anticipate project deviations and be responsible
for taking immediate corrective action. It is
also the customer project managers
responsibility to obtain an understanding of the
overall system business process integration in
the companys environment. The customer project
manager is a member of the steering committee and
must be fully supported by that body. The
customer project manager has (together with the
TeamSAP project manager) the power/right to
decide on all project relevant issues and the
budget. He escalates the strategical issues to
the sponsor for a common decision. The regular
decisions are his domain (empowerment). Depending
on the situation, the customer project manager
may participate as part of a change management
team.
19- The SAP reviewer is responsible for evaluating
the project at milestone or end of phase dates.
The review role should be taken by an experienced
project manager (or higher level individual) from
outside the project. A SAP (or partner)
consulting manager is ideal. The reviewer
conducts periodic project reviews assessing the
following - Adherence to the project implementation
strategy i.e. the project does not drift away
from its original goals and business objectives
- Identify risks which may impact the successsful
implementation of the solution and propose
corrective action
20- Effective use of the AcceleratedSAP methodology
and tools - Project progress compared to plan milestone
achievement - Deliverables quality, and conformance to the
documented approval process - Project team, steering committee, and any other
project dynamics for example, assessing the
Team structure and performance
21 The reviewer provides an objective view of the
project at pre-determined dates. The reviewer
then documents review findings and provides
written communication and recommendations to both
the steering committee and the project team.
Additionally, some companies may require the
project participation of the companys internal
audit department. The internal auditor is
responsible for assessing and evaluating the
System implementations compliance with either
application, data or technical standards,
controls and procedures. The internal auditor
communicates findings and recommendations to the
steering committee and project management.
221.6.1.2 Signoff Project Preparation Phase
- Purpose
- The purpose of this task is to obtain signoff
by the project management, confirming that all
deliverables are complete and accurate. Once
signoff has occurred, the project proceeds to
Phase 2. - Steps
- 1. Schedule a meeting for the signoff of
Phase 1 - 2. Obtain approval and formal signoff
- Result
- Completed, formal signoff of Phase 1
- Approval to proceed to Phase 2

- Description
- The steering committee, the primary source
for the companys long-term goals and vision,
must set priorities, approve scope, and resolve
company-wide issues. The steering committee aids
in promoting the system implementation project
throughout the organization. - The project sponsor, the SAP Consulting
Manager (and/or the TeamSAP Coach) and the
company project manager, must be members of the
steering committee. The Team SAP Project Manager
should attend the meetings.

- Description
- The project sponsor directly communicates the
companys long-term goals and visions. - The project sponsor is a member of the steering
committee, and must participate in the regular
steering committee meetings. The project sponsor
should participate in the feedback meetings for

- Assist the customer project manager in the
definition and execution of project
deliverables and the day-to-day management of the

- The PTL manages the effort to analyze and
