What Is The Dashboard?

• Tool that provides overview of transportation
  projects contracts assigns status to each
  project
• Two versions
• Internal Project Dashboard more detail, alerts
  project teams management to projects in trouble
• Project Dashboard available to public,
  communicates project status to public and invites
  feedback or questions

How Does It work?

• Applies business rules to project data to assign
  red, yellow, or green status
• Green light project on track
• Yellow light at risk, behind schedule, over
  budget - corrective action needed by Project
  Manager
• Red light project may be in serious trouble, or
  moving in that direction

Three Dashboard Levels

• Dashboard Summary view overall status, filter
  search
• Dashboard Project Listings view projects, search
  specific projects, print list, export list to
  Excel
• Project Details view details of selected
  project, link to database-driven feedback form
  with email alert to contact person

Level 1
Displays total count of projects in the four
Dashboard categories Advertisement,
Construction Contract Deadlines, Construction
Contract Award Amount, and Construction Contract
Work Orders and the three status values red,
yellow, and green

Level 2
Level 2 displays a list of projects in the
selected category and status. From this
listing, a user can drill down for specific
project information by clicking on the status
image, they can export the current listing to
Excel, or they can print out the listing as a
report

Level 3
The third level of detail displays all attributes
of the selected project. There are two
different detail displays AdvertisementDetail
and ConstructionDetail Advertisement and
Construction projects have substantially
different project details.

Dashboard Data Sources

• Data from PPMS CAS loaded into DATA WAREHOUSE
  (Oracle Database)
• PPMS Program/Project Management System, houses
  data for advertisement projects
• CAS Trnsport Construction Administration
  System, houses data for construction contracts
• Construction Expenditures System houses project
  manager data and Inspectors Estimate to complete

Dashboard Technology Process

• Dashboard Database (SQL Server) pulls from Data
  Warehouse through nightly batch run of Data
  Transformation Services (DTS) packages.
• DTS populates updates tables, then applies red,
  yellow, or green status based on business rules.
• Web interface is ASP w/HTML templates DB access
  code used to populate templates for data display.

Dashboard Project Feedback

• The Feedback pages provide the means for users to
  send messages to VDOT personnel in regards to a
  particular project or for the Dashboard in
  general.
• The page collects name and email information
  along with a text message from the user.
• Dashboard-related questions or comments are sent
  to an internal Dashboard contact while
  project-related messages are sent to the VDOT
  project manager for the actual project.
• Responses are provided to the users by e-mail
  within 72 hours.
