WHAT IS FERPA?
  • Family Educational Rights Privacy Act (Buckley
    Amendment 1975)
  • FERPA guarantees students at the postsecondary
    level the right to inspect and view their
    academic records.  It also prohibits UMKC from
    releasing information from a student's record to
    any third party unless the student authorizes the
    release.
  • University employees with a legitimate
    educational interest can have access to a
    particular students academic records.
  • You may have information about the students in
    your class, but you may not share it with anyone
    but the student (not even parents)

  • Who is a Student?
  • UMKC defines a student as someone who has been
    admitted and who has registered in one or more
    classes at UMKC.
  • What records are covered by FERPA?
  • All personally identifiable records

FERPA Faculty
  • Do parents have any FERPA rights?
  • At the secondary school level, parents have a
    right to review the student's records but that
    right is transferred to the student at the
    post-secondary school level.  The parent does not
    have a right to inspect the records of the
    student.
  • EXCEPTION Parents of dependent students as
    defined in the IRS Code of 1974 Section 152 are
    given the same rights to access as those given
    the student.  UMKC requires a copy of the most
    recent federal income tax return to prove
    dependent status.

  • What is directory information?
  • Directory information includes name, local and
    permanent address, local and permanent telephone
    numbers, email address, date and place of birth,
    major field of study, participation in officially
    recognized activities and sports, weight and
    height of members of athletic teams, dates of
    attendance, degrees and awards received, the most
    previous educational institution attended and the
    fulltime or part-time enrollment status of
    students.
  • EXCEPTION UMKC will release directory
    information to third parties without the
    permission of the student.

  • Homework Grading
  • Do not hand out homework assignments and pass
    them down the row in a class
  • Do not post your grades outside your office door
    or anywhere on campus. Blackboard is a great
    option with having the built in grade book.
    Students can easily log in to view their course
    progress
  • Do not leave graded homework in an open area to
    be picked up by students.
  • Do not communicate with your students via email
    unless it is to their official UMKC email account

FERPA Faculty
  • Letters of reference/recommendation-
  • Students who request you to write a letter of
    reference should provide a signed and dated
    request which specifies to whom the student is
    seeking your reference. It is important that the
    student waives her/her rights to review his/her
    reference.
  • You should retain the signed release form from
    the student for a minimum of five years after you
    provide the reference.

    Registrars Office will work with the UM System
    Legal department when necessary to avoid any
    violations against FERPA

Dropping a Class
  • Students do not need a signature to drop a class
    unless it is after the final drop date.
  • Census Date last day to have a class deleted
    from students transcript
  • September 17, 2007 (Fall)
  • February 4, 2007 (Spring)
  • Last day to withdraw without assessment
    students will automatically receive a W for
    withdraw on their transcript.
  • October 12, 2007 (Fall)
  • March 7, 2008 (Spring)
  • Last day to withdraw with assessment
    instructors may assign a W for withdraw
    passing or a WF for withdraw failing on the
    final grade sheet.
  • Undergraduate Students
  • November 9, 2007 (Fall)
  • March 21, 2008 (Spring)
  • Graduate Students
  • December 7, 2007 (Fall)
  • May 2, 2008 (Spring)

Auditing a Class
  • Students must have instructor permission to audit
    a class.
  • Students are expected to attend class even if
    they are auditing
  • if they are not attending the instructor may
    request that the student be administratively
    withdrawn from the class, deans approval is
    required
  • Students may change from audit to credit during
    the first week of class
  • Undergraduate students may change from credit to
    audit until the 4th week of class
  • Graduate students may change from credit to audit
    any time prior to the final examination.
