CITES Conferencing Background
  • Audio Conferencing Only
  • Built into Centrex service from SBC/ATT
  • Six 30-port bridges
  • One 60-port bridge
  • Maximum of seven concurrent audio conferences for
    all of campus
  • Centrex bridges are all or none
  • 6 people use an entire 30 or 60-port bridge

  • Users want Data and Video conferencing
    capabilities in addition to Audio
  • We expect Centrex as we know it to be replaced
    via the current RFP process
  • CITES needs a new non-Centrex-based conferencing
    solution
  • The CITES model is to have a central scheduling
    and support staff for conferencing

  • Through Extension, ACES has been in the
    conferencing business for decades
  • Operates an aging Latitude system that will do
    Audio and Data conferencing
  • Up to 96 ports with current system
  • System records conferences for playback
  • Cisco purchased Latitude and improved and
    re-branded the product line

  • Needed to replace aging hardware
  • Wanted to integrate Video conferencing
  • Existing 24-port stand-alone Video MCU was
    unreliable
  • ACES model is to have end users schedule their
    conferences
  • Wanted to be able to support Voice over IP (VoIP)
    phone calls as IP

  • CITES ACES already backed each other up for
    capacity and outages
  • Both needed new systems
  • Neither could afford redundant systems on their
    own
  • Both needed occasional extra capacity
  • Both wanted to support Video

  • Identical parallel systems could be combined for
    really large conferences
  • Identical parallel systems would be easier to
    support for backup and cross-training
  • Purchasing identical parallel systems seemed to
    make a lot of sense...
  • But what to buy?

  • ACES liked the existing Latitude, but needed more
    ports - that became the performance/features bar
    to beat
  • Evaluation team represented ACES, Extension
    CITES
  • Looked at outsourced solutions
  • Citrix
  • InterCall
  • Looked at a ShoreTel VoIP-based solution

  • Looked at a Polycom solution
  • Looked at Ciscos new version of Latitude
  • Looked at high-end, telepresence solutions from
    Cisco Polycom
  • B.P. Bio-Energy grant with Cal Berkeley
  • In the end, Cisco won
  • The most complete integrated system that offered
    recording, data and video

  • 192 ports of Data/Voice each
  • Can be either analog or VoIP calls
  • 48 ports of 2 Mbps HD Video each
  • Can be combined for extra capacity
  • Can fail over to each other

    systems
  • ACES will manage its conferencing system
  • End-user reservations
  • CITES will manage its conferencing system
  • Central reservations - end-user option
  • The two organizations will continue to work
    closely and cooperate

What this means to ACES Extension
  • Improved recording
  • Therefore greater use of async playback
  • Greater use of IP-based videoconferencing
  • More multi-location, multi-instructor teaching
    sessions
  • Opens the way for IP telephony in the field
  • Far greater capacity
  • Fewer scheduling bottlenecks
  • Better technical backstopping and support here on
    campus
