Grounds Maintenance Work Plans
  • We began to develop the work plans in 1997
  • We needed to determine what we were maintaining
  • We needed to develop uniform maintenance
    standards across campus
  • We needed to have a way to compare what we were
    doing with industry standards

  • Campus Land Use Inventory
  • Prioritization of the Campus Landscape
  • Industry Time Standards

The Campus Land Use Inventory
  • We track 14 different land uses on campus
  • The quantity of each land use has been determined
    in square feet
  • Land use maps have been developed for
  • Six Horticultural Zones
  • Family Housing
  • Outlying Areas
  • The Presidents Residence and Inglis House

Facts about the campus landscape
  • We maintain 12,251,812 SF of turf
  • If you were to mow this in a straight line using
    a standard push mower you would travel 1,160
    miles or from Ann Arbor to Tampa, Florida
  • We maintain 171,357 SF of annual and perennial
    beds
  • Equal to 11 football fields
  • We maintain 3,755,638 SF of sidewalk, plaza, and
    specialty paving
  • You could build an 8 foot wide sidewalk from Ann
    Arbor to Saginaw with this amount of paving

Prioritization of the Campus Landscape
  • The Campus is divided into three levels of
    maintenance
  • Priority One
  • Priority One is the highest level of
    maintenance
  • Priority Two
  • Priority Two is a standard level of maintenance
  • Priority Three
  • Priority Three is a low level of maintenance

Industry Time Standards
  • We use industry time standards developed by the
    Professional Grounds Management Society
  • Example
  • PGMS says it should take 6 minutes per 1000 SF to
    mow a lawn with a push mower
  • Given this we would estimate it taking 1225 labor
    hours to mow our lawn to Tampa

Combining the three components
  • The actual square footage of a land use is
    determined by the inventory
  • This number is multiplied by a time standard from
    PGMS which gives us the estimated time to perform
    the task once (one frequency)
  • The number is multiplied by the number of
    frequencies per month to give us the labor hours
    needed to perform this task each month

What does the resulting information tell us?
  • The resulting labor hours needed to maintain an
    area allows us to determine staffing levels,
    budgets, and resource allocation
  • The PGMS time standards allow us to benchmark our
    performance with national standards
  • The Work Codes used on Time Cards allows us to
    track the various maintenance tasks

The Work Plans
  • The information from our calculations is compiled
    into work plans
  • A work plan has been developed or is being
    developed for each maintenance specialty
  • The work plans give a model for planning the
    work necessary to achieve the maintenance
    standards of an area

  • Allow us to track our costs and prioritize where
    we spend our time
  • Allow us to deal with a changing campus
  • Allow us to manage difficult financial times
