- SmartPhone is the softphone version of the
Smart series. In addition to the comprehensive
phone emulation features, this product can pop
details form the internal database. - SmartConnect is the database integration
version of the Smart series. This product
integrates with Act!, Goldmine, Lotus notes,
Maximizer, MS Access, MS Outlook/Exchange, MS
CRM, Pegasus Opera and SuperOffice CRM to enable
full screen popping and dialling.

7SmartOperator Control Buttons
- Control Buttons buttons along the top control
SmartOperators behaviour. - The DND button toggles the Do Not Disturb mode of
the telephone. While your telephone is in Do Not
Disturb mode, it will not ring and the status
will be yellow (unavailable) on SmartPhones
Extension Status. Useful for part time
receptionists or out of hours - The Auto Answer button toggles automatic
answering of your telephone. When it is turned
off, you will need to manually answer a call by
using SmartOperator or your telephone handset.
When Auto Answer is on, your telephone will be
taken off hook automatically when a call rings
in. Useful to speed up call answering - The Keys button brings up a help window to remind
you which keys you use on your numeric keypad. - Beneficial for new operators or part time
cover - The Page button will enable you to use your phone
systems page mode - Quick access this important operator

8SmartOperator Call Control Buttons
- Call Control Buttons these buttons near the
bottom which perform call control. Note
Intellibuttons only become active when feature
is available - Release button used to hang up the active call
(the person youre talking to). - Hold button is used to put the active call on
hold (for example to set up an announced or
consulted transfer). - Â
- Transfer button is used to complete an announced
or consulted transfer. Use the Hold button
to set up a transfer, and then use this button to
connect the original call and the second call. - Cancel button is used to cancel a transfer and
return you to the original call

9SmartOperator - Incoming Call Queue
- As each incoming call arrives, it will appear at
the queue showing the name and number of the
caller (if known) as well as who they are
calling. - If you just wish to answer the call that is next
in the queue (i.e. at the bottom), just press the
Next Call key on your keyboard - Or selectively answer calls out of sequence if
you see a higher priority call.

- This area is made up of two boxes representing
the active calls at your extension. - The left hand box (Call 1) displays information
on calls answered/made - the right hand box (Call 2) displays information
on any consultation calls - The active call (the one you are speaking to) is
represented by a blue border around the box. - When a call is active, you may dial digits by
entering them with your keyboards numeric keypad
and pressing Enter

- Displays all of the companies extensions grouped
into their relevant departments. - See at a glance whether someone is free or busy
by looking at the status of the coloured circle
next to their extension number. - Green means they are free.
- Red means they are on the phone
(or their phone is ringing). - If you have SmartPhone users, you can see
if someone is currently using
SmartPhone or
SmartOperator by whether their
number/name appears in a bold font. - Hover your mouse over a red extensions and it
will show who they are on the phone to. - Clicking on a department header button will
toggle the viewing of extensions in that
department.

- If a caller wants Ann, you may type Ann and the
Extensions area will only display those
extensions whose name starts with Ann eg
Anne, Anna, Annabelle, etc. - But it will also show all extensions who contain
the word Ann eg Joanne, Mary-Ann, Hannah, Mr
Mann, etc. - Quickly and easily find out which Ann is required
and whether or not they are free. - As well as searching for names, you can also
search for a number or part of a number. - You can also type a telephone number into the
search box, and then press the Enter key, or
click Dial to dial that number - This also works in the directory window

- Inbox contains SmartPhone text messages received.

Callbacks that you have set on extensions. - External Callbacks table contains the External
Callbacks that you have set on contacts. - To view a message or callback, simply select and

notification area of your taskbar, a menu will

- Feature MenuPointing your mouse at the Feature
menu shows supported features like Do Not
Disturb, Door Answer, Forward All Calls, and
Suppress Caller Id. - Last Number Redial menu, the names and numbers of
the last 10 people that you were in contact with
is displayed. - Both calls which you made and calls which you
received are included in this list. - To call one of the contacts, just click on them
in the list.

- Call History shows a recent call history for
your extension - date and time that the call started
- type of call To/ From/ Missed/ No Answer
- the telephone number of the other party

- duration of the call.
- To call somebody just click Dial.
- To bring up a contacts record card to see extra
details such as their address and other telephone
numbers simply highlight and click Show Contact. - To see more detailed information about the call,
such as when it was put on hold, how long it rang
for, who it was transferred to, etc you can do so
by highlighting the relevant call and clicking
Show Call. - Filter the information that you are viewing so
that you can see the last 50 internal calls,
external calls, or missed calls etc.
