What is it?
  • mail-merge enables personalised letters to be
    produced from
  • A standard wordprocessed letter (called a FORM
    LETTER)
  • and
  • A database file
  • mail-merge also enables mailing labels to be
    produced

Why is it useful?
  • It reduces the amount of work needed as each
    letter will be largely the same
  • Individual details are changed automatically
    without the need for re-typing
  • You can select who to send the letter to by using
    a QUERY in the data base

Creating the Form Letter
  • In WORD select TOOLS, MAIL MERGE
  • In the Mail Merge Helper select MAIN DOCUMENT,
    CREATE, FORM LETTERS then select ACTIVE WINDOW

Creating the Form Letter
  • Before typing your letter you need to select GET
    DATA, OPEN DATA SOURCE.
  • The data source can be a special WORD file, an
    EXCEL file or an ACCESS database or QUERY

Merging and Printing
  • Type in your letter, but instead of typing the
    name of the the company or person you are writing
    to, click on INSERT MERGE FIELD
  • When you have finished your FORM LETTER, save it
    then click on the ABC button to view the merged
    data.
  • If you are happy that the data is merging as
    expected, click on the MERGE TO PRINTER button to
    print your mail merge letters
