  • My BSA is a Web site. http//mybsa.org
  • It is an electronic source of important and
    useful information for all council employees.
  • It provides council employees information needed
    to do, and be successful in, their jobs.

    the Internet.
  • It is designed to operate on a high-speed
    Internet connection.
  • Users can be given access to all parts of the Web
    site or limited to just certain areas.
  • My BSA is dynamicit will continue to change and
    evolve to meet the needs of BSA employees.

  • My BSA is primarily an information retrieval
    system rather than an information processing
    (inputting) system.
  • My BSA users view information for their council,
    although some screens do provide comparisons to
    other councils.
  • My BSA information includes
  • Reports and analysis from PAS.
  • Reports from ScoutNET fiscals.
  • Access to the BSA Intranet and other BSA Web
    sites.
  • Access to PAS Find processes.
  • Access to BSA Mail.

  • It will be helpful for you to know two My BSA
    Web site navigation terms
  • Page The header of the Web site displays tabs
    with the titles of pages for example Home,
    Membership, Resources, Fundraising, etc. Clicking
    on any of these titles will open that page.
  • Gadget Each page is subdivided into sections
    (like sections in a newspaper). Each of these
    sections is referred to as a gadget. Gadgets
    appear on your screen as a dark blue bar with the
    name of the gadget appearing on the left side of
    the bar. For example on the Home page there are
    gadgets with titles such as E-Mail, Reporting Set
    Up, My Links, Boy Scout News, and others.
  • Note My BSA displays both real-time (current)
    and historical data. At any time, you can refresh
    the real-time information in a gadget by clicking
    the Refresh button on the Web browser toolbar.

  • My BSA is Customizable
  • Using the Reporting Set Up gadget, you will be
    able to customize pages so the data for the BSA
    structure most important to you appears first.
  • Using the Expand and Collapse buttons on any
    gadget, you can hide items you dont want or
    need displayed on your page.
  • You control the content by selecting the data you
    wish to view, i.e., only certain fundraising
    campaigns or events.
  • My BSA is personalized with your name, council
    name, and council information.

  • The ? button on each gadget opens a help
    screen.
  • There is a My BSA Training gadget on the
    Resources page.
  • You can call the ScoutNET Help Desk at (800)
    627-3025.
  • My BSA offers access to electronically published
    BSA information from many BSA sources, including
    ScoutNET, Finance Support, Information for
    Professional Scouters, and BSA info web sites -
    all from a single login.

  • The Administration page is the control room for
    granting access to My BSA.
  • The councils My BSA Administrator assigns
    individuals access to the various pages of My
    BSA.
  • The Scout executive assigns the My BSA
    administrator role to one or more persons in the
    council.
  • The Administration Page displays two gadgets
  • 1. User Access
  • 2. Council Flash Upload

  • User Access Gadget Through this gadget you can
    grant access to all pages and access within some
    pages.
  • Access to Pages Opens as a grid and displays the
    names of all council employees that have a
    ScoutNET user ID and password. Assigning the Home
    page grants an individual access to My BSA. Other
    pages can then be assigned depending on job
    responsibilities.
  • Access Within Pages Includes gadgets with
    functionality that should be limited to only
    selected staff members. Click on any of the page
    names listed here. Assign these gadgets to
    appropriate staff members.

  • Council Flash Page Gadget Used to create a
    council electronic bulletin board on the Home
    Page of My BSA.
  • To create the Flash page requires html software,
    such as Microsoft FrontPage or Macromedia
    Dreamweaver.
  • (Note FrontPage software can be purchased
    through the national office for less than 100.)

  • E-mail and other Microsoft Outlook processes
    (calendar, tasks, contacts).
  • Reporting Set Up.

  • E-Mail
  • The E-Mail gadget on the Home page contains a
    link to open Outlook Web Access. From there, you
    can see your e-mail account.
  • E-mail opens in a separate window and remains
    open while you view other My BSA pages. If you
    can't find your e-mail window, check the Windows
    taskbar at the bottom of the screen.
  • With Outlook Web Access, you can open your
    personal mailbox to read e-mail, send messages,
    organize contacts, schedule appointments, and
    access the BSA address book.

  • Reporting Setup
  • The Reporting Setup gadget lets you specify how
    you want information to appear within the pages
    of My BSA.
  • Sequence
  • Choose the order in which you want the
    information to appear. The options are descending
    (best to worst) or ascending (worst to best). The
    selected option will then apply to the
    highlighted column on any My BSA page. Selecting
    another column on that page will re-order the
    items in that column according to your sequence
    selection.
  • Log Out to Complete Changes
  • Changes to the reporting set up selection do not
    occur immediately. You must log out and log back
    in. Changes to the reporting sequence become
    effective as soon as you select a page.

  • Council Flash Page
  • Similar to the ScoutNET Flash Page, the Council
    Flash can alert the staff of important events,
    tasks, deadlines, and reminders. It is designed
    to be an electronic bulletin board for
    communication with council staff.
  • A council employee designated as a My BSA
    administrator maintains the Council Flash from
    the Administration page.
  • Instructions for creating and uploading the
    Council Flash page are in My BSA help documents.

  • Boy Scout News
  • The Boy Scout News gadget provides links to
    newspaper articles concerning the Boy Scouts of
    America. The gadget searches the Internet for
    articles containing the phrase "Boy Scouts" and
    creates a link with the name of the publication,
    date published, and first few sentences of the
    article.
  • Click the link to go to the Web site where the
    article was published and read the complete
    story.
  • Click the X (Close button) in the upper-right
    corner of the news article window to return to My
    BSA. Be careful not to click the X in the My BSA
    window, which is open behind the news article
    window.
  • The Boy Scout News gadget also has links to other
    search engines (Yahoo, Alta Vista, MSN). Click
    any of the links to find more articles about Boy
    Scouts in the news.

  • The Good Turn for America Reports gadget returns
    data submitted by units in your council in the
    form of reports that track unit participation in
    service projects.
  • Use this gadget to view and print reports on
    service projects for traditional units, LFL
    groups/posts, and Eagle Scouts.

  • The My Links gadget will save any Internet site
    as a quick link.
  • You can set up Web sites that you view
    frequently, save them as a link with a name that
    you choose, then click the link from this gadget

  • Web-based training requires Shockwave software to
    work. If your computer does not have Shockwave,
    you can download it from the Internet, or install

  • E-Forms Gadget
  • Use the links in the E-Forms gadget to submit
    information to the National Council and/or to see
    membership projections on the Membership Page of
    My BSA.
  • The E-Forms gadget is available only to users who
    have the E-Forms role in PAS. Note access to
    this gadget is not assigned from the My BSA
    Administration page.
  • E-Forms include Local Council Charter Renewal,
    National New Unit Organization Campaign Progress
    Report, Camping Report, and Membership
    Projections.
  • The Rollup button on the Membership Projections
    e-form totals district data into the service area
    or council totals. To create separate service
    area or council projections, do not use the
    rollup feature. You can change and re-submit
    projections at any time. Totals will not display
    until the Submit button is clicked.

  • The Membership Page displays two gadgets
    Real-Time Statistics and the Membership Dashboard
  • Real-Time Membership Statistics Gadget This
    gadget shows real-time membership and unit
    statistics. The current membership business
    month, date, and time appear below the title bar
  • These statistics can be viewed for any part of
    the council structure and can be displayed in 3
    different views
  • 1. Membership by Program (now vs. end of month
    last year)
  • 2. Winners Circle (now vs. 6/30 last year)
  • 3. Year-End Membership (now vs. 12/31 last
    year.)
  • Additional statistical detail can be viewed by
    clicking on the program type, for example, click
    Cub Scouting to see membership detail.

  • Membership Dashboard This gadget reports
    real-time statistics for a selected month. It
    measures results against national membership
    achievement standards and displays a red, yellow,
    or green arrow to highlight current status
    against the standard.
  • Membership statistics can be viewed for the
    current month, back nine months, or forward two
    months (to view current status against
    projections for the upcoming two months).
  • You can view statistics for all, or only
    selected, membership program levels, for example,
    all Cub Scouting or just Tiger Cub Scouts, all
    traditional or just Learning for Life, etc.
  • You can also choose from among 25 different data
    columns to view membership statistics that are
    the most important and meaningful to you.

  • Information Source All membership statistics are
    generated from the Program Administration System
    (PAS) software on ScoutNET.
  • Date All statistics are measured for the
    selected date. If the selected month/year is not
    closed, month-to-date figures are used.
  • Dashboard Options There are 25 different data
    columns that can be displayed on the dashboard.
    We recommend selecting no more than eight to
    appear at one time.
  • Dashboard Arrow Indicators The red, yellow, and
    green arrow indicators in the second column are
    reading the column you have highlighted by
    clicking on the column header. The criteria used
    to determine the red, yellow, and green status is
    included in a key at the bottom of the screen.

  • Council Classification Comparison (a
    last-year-end comparison of your councils
    membership results to the average of other
    councils in your area and of like-size councils
    across the country).
  • The available 3 and 5 year reports appear on the
    screen as links. Click the link to launch the
    report. These are Cognos (software) reports that
    can be viewed in numerous forms of graphs and
    charts. Cognos reports can be printed and
    exported.

  • Chief Scout Executives Winners Circle Gadget
  • This gadget is used to report the names of
    individuals in your council who achieved winners
    circle status.
  • Selections made will automatically appear on a
    winners circle gadget in the version of My BSA
    used by regional and national staff.
  • This gadget is available for local council input
    for a limited amount of time. Any changes needed
    after the gadget expires from your screen are
    made by contacting your regional office.

  • The Quality page currently has a Quality Unit
    gadget that tracks the elements required for a
    unit to earn Quality status.
  • A future enhancement to My BSA will be gadgets to
    track Quality District and Quality Council
    achievement status.

  • The Quality Unit gadget assists you in tracking
    the progress of units earning the quality unit
    award for the current charter year and reports
    the quality status of units for the past charter
    year.
  • Where possible, data is drawn from the PAS
    database.
  • When Quality Unit standards require data that is
    not available in PAS or when data needs
    interpreting, you can update the necessary
    information for each unit.
  • The Quality Unit screen can be both printed and
    exported as a report making it a valuable tool
    for the commissioner staff and district committee
    members. For example, a commissioner can see the
    progress of individual units, while a member of
    the training committee can view unit leaders not
    yet trained.

  • Columns on the Quality Unit screen default
    (start) as No for all units. Yes appears when a
    unit has met Quality standards. Some standards
    are met automatically from data drawn from PAS
    others must entered by you.
  • Click Update at the far right end of any row to
    open the screen that displays the quality unit
    standards for which you must manually update the
    units status.
  • The DTR Status column reports the Quality Unit
    status of this unit as seen on the District
    Totals Report in PAS. If this column is marked
    Yes, the unit has been marked as having met the
    Quality Unit standards in its previous charter
    year.

  • The Fundraising page displays seven gadgets
  • Fundraising Campaigns.
  • Fundraising Manpower.
  • Fundraising Prospect Searches.

    quickly locate prospects and un-worked prospects.
  • Person/Organization and Roster Searches are quick
    searches of the PAS database.
  • BSA Resources provides quick access to ScoutNET
    and BSA Web sites.
  • Fundraising Analysis provides helpful 3-year
    comparison and 5-year trend analysis reports of
    council fundraising efforts. Data is reported at
    the council level only.

    last-year-end comparison of your councils
    fundraising results to the average of other

  • Fundraising Campaigns Gadget This gadget
    displays data on current fundraising campaigns
    that have been set up in PAS fundraising
    software. You can select which campaigns you want
    to display on your screen. You can also view data
    for the entire council or just a portion.
  • Click the Display Options button to see the list
    of campaigns available for viewing. This will
    include all current campaigns and any campaigns
    that have expired within the last 90 days. Click
    the check box(es) of the campaigns you want to
    display in the gadget.
  • Select the BSA structure of the data you want to
    view.

  • Fundraising Manpower Gadget This gadget
    displays data by worker position for current
    fundraising campaigns. You begin by selecting a
    campaign you want to display on your screen. You
    then select the portion of the BSA structure you
    want to view.
  • Click the Query button to see the list of
    campaigns available for viewing. Click the radio
    button of the campaign you want to display in the
    gadget. Click Next.
  • Select the BSA structure of the data you want to
    view. Click Submit.

    registered leaders.
  • Columns total by position. The areas reported are
    as follows

  • This screen reports the same information as the
    PAS Adult Training Statistics Report, but also

  • Click Query to select the BSA structure of the

    registered in the selected leader position. More
    detail can be viewed by clicking the name of any
    leader.

    council level only.
  • The Council Classification Comparison is a last
    year end comparison of council program results to
    the average of other councils in your area and of
    like-size councils across the country.
  • This includes such comparisons as district
    committee members per district, units per
    commissioner, gain/loss of youth and units,
    on-time recharter, Quality Units, trained top
    leaders and direct contact leaders, Cub Scouts
    and Boy Scouts camping, advancements, and Boys
    Life subscriptions.

    events software. You can select which events you
    want to display on your screen and can print a
    report for the selected event(s).

    Submit.
  • In the Events Gadget, the Event Name links to a
    report.
  • This reports shows the event reservation count

  • Cash Receipts Cash Receipts shows the total
    most current cash receipts. The date reports the
    most current date that cash receipts have been
    posted. The dollar amount is the total of all
    cash receipts posted on that date.

    renewals submitted electronically via the
    Internet Rechartering Web site and posted in PAS.
  • The counts are categorized into This week, Last
    week, and Since September.
  • This Week begins on Friday evening, allowing
    you to view weekend activity on Monday.
